Comparisons & PricingComparison between manual management, AI automation, and agency outsourcing for Google reviews

Reviews: Manual, AI, or Outsourced?

Updated on 30 August 2026

In short

  • Under 15 reviews/month: manual management stays reasonable, roughly 30-45 minutes a week.
  • Between 15 and 40 reviews/month: this is the zone where a self-service AI tool becomes worth it in time saved, for €39-49/month.
  • Above 40 reviews/month or multiple locations: either a full suite or an agency, depending on available budget.
  • The real cost of manual management isn't the response time itself, it's the time lost checking that nothing got missed.
  • None of the three options is universally better — the right choice depends entirely on your volume.

The starting calculation: what's an hour of your time worth

Before comparing options, one question comes before all others: what's an hour of your time worth? For an owner who could spend that hour on the floor or in the kitchen instead of on their phone, the answer determines the rest of the math.

Option 1 — Manual management

Real observed time: 2 to 4 minutes per response for a simple review, 5 to 8 minutes for a negative one that needs thought. For 15 reviews a month, that's roughly 45 minutes to 1 hour — manageable in a weekly 10-15 minute session.

The real hidden cost isn't writing time, it's checking. Without a tracking tool, you have to open the Google Business Profile app regularly to avoid missing a negative review — and the recommended response window (24h for a negative review) forces near-daily vigilance, even when there's nothing to handle.

Worth it up to: roughly 15 reviews a month at a single location, if you're disciplined about checking daily.

Option 2 — Self-service AI tool

What changes: writing time nearly disappears — you approve or tweak a generated response rather than draft it. Checking time too, since the tool alerts in real time.

Cost: €39/month for one location (see the full comparison). At a volume of 30 reviews a month, that works out to roughly €1.50 per review handled, against a potentially much higher hourly cost with manual management.

Worth it for: 15 to 40 reviews a month, or as soon as daily checking becomes a burden.

Option 3 — Outsource to an agency or managed support

What changes: you stop touching the tool entirely. A person or team runs the account, approves responses, and reports back periodically.

Cost: from €549/month for Copilot-style managed support from a market player. Full detail is in our article agency vs software: the math for a restaurant.

Worth it for: multiple locations where coordination itself becomes a full-time job, or a situation where no internal time is available, at any price.

Decision table

Your monthly volumeRecommended optionApproximate cost
< 15 reviews, one locationManual management€0 + ~1h/month
15-40 reviews, one locationSelf-service AI tool€39-49/month
40+ reviews or multiple locations, tight budgetSelf-service AI tool, per-location rate€39-49/location/month
Multiple locations, comfortable budget, need broad coordinationFull suite or agency€99+/location/month
No internal time availableManaged support€549+/month

The trap in both directions

Automating too early: paying €39/month to handle 5 reviews a month makes no economic sense — the time saved doesn't cover the cost.

Staying manual too long: past 20-25 reviews a month, the main risk is no longer time spent, it's missing one. A negative review left unhandled for 24-48h loses much of its response value — see review response time: what actually matters.
