How to Respond to Google Reviews: 40 Templates by Situation

In short

  • A useful response is 3 to 5 sentences. Beyond that, nobody reads it.
  • The structure is always the same: thank → name the specific fact → explain without justifying → move off the public square when needed.
  • Never paste a template verbatim across multiple reviews: Google and readers both spot duplicated responses.
  • Naturally mention your speciality and your neighbourhood: this text is indexed and attached to your listing.
  • Respond within 24 h to a negative review, within 72 h to a positive one.

These templates are starting points. Always replace the brackets with something real: a dish, a first name, a date, a concrete decision.


How to use these templates

Three rules, before the examples.

One, personalise the first sentence. That is what readers see without expanding. If your last twenty responses all open with "Thank you for your feedback", your listing looks like it is run by a bot.

Two, name what was named. If the customer mentions the short rib, mention the short rib. Picking up the specific detail is what separates a real reply from an acknowledgement of receipt.

Three, only promise what you will do. "We will review our service times" commits to nothing and it shows. "We added a second server on Saturday nights" commits and can be checked.


Positive reviews (5 stars)

1. Enthusiastic, no detail

Thank you so much, [Name]! The whole team will be glad to read this. We look forward to having you back.

2. Customer names a specific dish

Thank you, [Name]! The [dish] is one of our proudest items — [chef/name] makes it [detail: over wood fire, to order, with produce from X]. Looking forward to seeing you again in [neighbourhood].

3. Praise for the service

Thank you — I'll pass this on to [server's name] and the whole team. This is the kind of feedback that makes the day. See you soon!

4. Regular customer

Always a pleasure to see you, [Name]! Thank you for [duration] of loyalty. The [new item] is coming to the menu soon — we'll save you one.

5. Special occasion

Thank you, [Name]! We're delighted to have been part of [the birthday / your evening]. Thank you for choosing us for it.

6. Visitor or tourist

Thank you so much, [Name]! We're glad you enjoyed your evening in [neighbourhood]. Safe travels, and you're always welcome back.

7. Customer recommends you to others

Thank you, [Name] — a recommendation means a lot to a neighbourhood restaurant like ours. See you soon!

8. Five stars, no comment

Thank you for the five stars! If you have a moment, tell us what you enjoyed — it helps the next guests decide.


Mixed reviews (3–4 stars)

9. Great food, slow service

Thank you, [Name], and thank you for being honest about the service. You're right — [day/service] we were too slow and that isn't acceptable. We've since [concrete action]. Glad the kitchen held up its end.

10. Good service, disappointing dish

Thank you for the feedback, [Name]. Sorry about the [dish] — can you tell us what was wrong? Email us at [email], it would genuinely help.

11. "Good but expensive"

Thank you, [Name]. We work with [supplier / fresh produce / short supply chain], which explains our prices. It's a deliberate choice, but your point is noted.

12. The room needs work

Thank you for being straight with us, [Name]. The [element: furniture, lighting, acoustics] is genuinely a work in progress — [timeline if you have one]. Glad the rest worked for you.

13. Wait at the door without a booking

Thank you, [Name]. [Day] nights we're often full; the simplest fix is to book, even the day before. Sorry for the wait, and see you soon.

14. Portion felt small

Thank you for this, [Name]. Our portions are sized for [real reason], but if you left hungry, tell us on the spot — we always adjust.

15. One good experience, one bad

Thank you for taking the time to be specific, [Name]. That's exactly what helps us: keep what works, fix the rest. On the [problem], we've [action].


Negative reviews (1–2 stars)

16. Wait too long

Hello [Name], you waited [duration] and that's too long — I'm not going to look for an excuse. On [day] we had [factual cause] and we failed to absorb it. We've since [concrete action]. If you'll give us another chance, email me at [email] and I'll handle it personally.

17. Cold food

Hello [Name], a [dish] served cold is our mistake and there's nothing to add. Thank you for flagging it — it went back to the kitchen this morning. Email me at [email]; I'd like to make it properly for you.

18. Rude server

Hello [Name], I'm sorry to read this. It isn't what we want and it isn't what we ask of our teams. I've identified the shift and spoken to them directly. Thank you for telling us rather than leaving without a word.

19. Wrong order

Hello [Name], we brought the wrong dish and we didn't fix it fast enough. That's on us. Reach me at [email] — I'd like to make it right.

20. Cleanliness issue

Hello [Name], thank you for flagging this — it's the one thing we don't compromise on. [Area] was redone and the protocol reviewed with the team on [date]. I'm sorry you saw that here.

21. Noise

Hello [Name], [day] nights the room is genuinely lively — it's part of the atmosphere, but it doesn't suit everyone and I understand that. If you come back, ask for table [quiet spot] when you book; it's noticeably calmer.

22. Disputed bill

Hello [Name], I'll check that ticket. Can you email me at [email] with the date and time? If we got it wrong, we refund you — it's that simple.

23. Lost reservation

Hello [Name], a reservation that disappears is inexcusable — you came out for nothing. We've changed [tool / procedure] since. Email me at [email] and I'll hold a table for you.

24. Allergy mishandled

Hello [Name], this is the most serious feedback we can receive and I'm treating it as such. We reviewed [allergen procedure] with the entire kitchen on [date]. Thank you for alerting us, and I am sincerely sorry.

25. Poor value for money

Hello [Name], thank you for being direct. Our prices reflect [real reason], but if the plate didn't match that day, that's a problem on our side. Tell me what you ordered, at [email].

26. Refused accommodation (dog, stroller, terrace)

Hello [Name], I understand the frustration. [Rule and its reason, one factual sentence.] It wasn't personal, and I'm sorry it went badly at the door.

27. Waiting for the check

Hello [Name], waiting twenty minutes for the check ruins the end of a meal — you're right. We've put [pay-at-table / QR / action] in place so it doesn't happen again. Thank you for saying it.

28. Delivery complaint

Hello [Name], the order left us at [time] and what happens next is on the platform — but it's our name on the bag, so it's our problem too. Email me at [email] with your order number.

29. Unfavourable comparison with a past visit

Hello [Name], you knew us before and that's what makes this useful. [What changed, honestly.] If you give us another chance, let me know at [email].

30. Unhappy about a refused gesture

Hello [Name], I understand the answer you got on the spot didn't sit well. Email me directly at [email] with the details — I'd rather handle this with you than here.


Special cases

31. One star, no comment at all

Hello, a single star with no explanation gives us nothing to work with — and we'd genuinely like to understand. If you have two minutes, email us at [email].

32. Review clearly meant for another business

Hello, we don't serve [dish mentioned] and we don't have [item cited]. This looks like a mix-up with another business. Do email us at [email] if we're wrong.

33. Suspicious review, no identifiable visit

Hello, we can't find any booking or visit matching this date. If you did come, please email us at [email] — we want to understand. Otherwise, this review has been reported to Google.

34. Review with a demand for money

Hello, we do not respond to demands for payment in exchange for review changes. This message has been reported to Google and to the relevant authorities.

35. Review from a former employee

Hello, this concerns an employment matter rather than a meal with us. We remain available to discuss it directly at [email].

36. Review in another language

[Reply in the reviewer's language, 2 sentences.] We hope to welcome you again in [neighbourhood].

37. Review about a private event

Hello [Name], thank you for the feedback on [the event]. [Specific point.] For future private hires, we've [adjustment].

38. Criticism of the menu, not a dish

Hello [Name], the menu is short on purpose: we'd rather do a few things well, with produce that changes. It doesn't suit everyone, and I hear that.

39. Positive review with one reservation

Thank you, [Name]! Glad the whole thing worked for you. On the [detail], you're right — noted and fixed.

40. Customer who returned after a bad review

Thank you for coming back, [Name]. That's the best thing that can happen to us after feedback like yours. Glad it went better this time.
