These templates are starting points, not scripts to copy verbatim — a response that references a real detail from the visit always reads more genuinely than a perfect template. Slow service (6 templates)

  1. "Thanks for letting us know about the wait — that's not the pace we aim for, and I'll be looking into what slowed things down that night."
  2. "I'm sorry the service felt slow during your visit. We'd like to make it right — please reach out to us directly at [contact] when you have a moment."
  3. "That wait time isn't acceptable, and I appreciate you flagging it. We're adjusting our staffing for [time period] based on feedback like this."
  4. "Thank you for your patience that evening, even though it clearly wore thin — we're working on tightening up service during peak hours."
  5. "I hear you on the wait. We had [honest, brief context if applicable] that night, but that's on us to manage better, not on you to work around."
  6. "We appreciate the honest feedback. A slow visit isn't the experience we want for anyone who chooses to eat with us."

Food quality issues (6 templates)

  1. "I'm sorry the [dish] didn't meet the mark that night — that's valuable feedback for our kitchen team."
  2. "That's disappointing to hear, and not what we expect from that dish. We'd like the chance to get it right — please reach out at [contact]."
  3. "Thank you for the specific feedback on the [dish] — details like this help us catch issues faster than a general comment would."

Order accuracy / delivery (5 templates)

  2. "Thanks for flagging this. We're reviewing our packing process for delivery orders based on feedback like yours."
  3. "That's frustrating, and I understand the disappointment. We'd like to send a replacement or refund — please reach out directly."

Pricing / value perception (4 templates)

  1. "Thanks for the honest feedback on value. We price based on [ingredient quality/portion size], but I hear that it didn't land that way for you."
  2. "I appreciate you sharing this. We're always weighing portion and pricing, and feedback like this factors into that."
  3. "That's fair feedback, and I don't want to argue the point — we'll keep it in mind as we look at our menu pricing."

Atmosphere / noise / cleanliness (4 templates)

  2. "Thanks for the feedback on cleanliness. That's not the standard we hold ourselves to, and we're addressing it directly with the team."
  3. "I hear you on the atmosphere that night — we had [honest context if applicable], but that shouldn't affect your experience."
  4. "That's valuable feedback, and not what we want guests to notice. We're taking a closer look at this."

General dissatisfaction, no specific detail (5 templates)

  1. "I'm sorry your visit didn't go the way we'd want. We'd appreciate the chance to hear more directly — please reach out at [contact]."
  2. "Thanks for taking the time to share this, even though it's not the review we hoped for. We'd like to understand more if you're open to it."
  3. "That's disappointing to hear, and I want to make sure we get this right. Please reach out directly so we can follow up."
  4. "We appreciate honest feedback, even when it's tough to read. We're taking this seriously."
  5. "I'm sorry we missed the mark this time. We'd love the chance to show you a better visit if you're willing to give us another shot."

The one thing to never do

Never argue with the substance of a review publicly, even when you believe the customer is wrong or exaggerating — see what never to do with a negative review for why this consistently backfires with the audience reading the exchange, not just the reviewer.
